Accounts and Payroll Administrator – 30 hours per week

About the Role

The Accounts and Payroll Administrator is responsible for providing a professional and effective payroll and financial support service for Cranford Hospice Trust.

 

Key Responsibilities 

Finance Support Services

  • Providing finance, accounting and payroll support and information to Cranford Hospice Trust Leadership team as requested
  • Maintaining professional and effective communication through telephone and face to face contact with debtors and creditors, families/Whanau, community organisations and members of the public and dealing with queries in a professional and efficient manner

 

Accounts Administration 

Accounts Payable 

  • Receive and collate supplier invoices via mail and email on a daily basis
  • Match invoices to purchase orders in ApprovalMax and Xero
  • Check invoices to ensure correctly coded and approved and compliant with GST and other tax requirements.
  • Process invoices in ApprovalMax and Xero in a timely and accurate manner.
  • Review Creditor statements and follow up outstanding items.
  • Ensure invoices are approved and paid on time and penalties are not incurred.
  • Ensure deskfiles are developed, maintained and up to date

Accounts Receivable 

  • Ensure Te Whatu Ora contract invoice is accurate and submitted on time
  • Process miscellaneous invoices as required
  • Review overdue reports and ensure follow up action is taken

Bank Account 

  • Reconciliation and processing in conjunction with the Finance Director and/or CEO

General Ledger

  • Provide support with monthly management reporting.
  • Assistance with preparation of Board Reports and variance commentaries.

 

Payroll Processing 

  • Maintaining an understanding of human resource and employment legislative issues for the service, maintenance, and production of fortnightly wages for Cranford Hospice Trust staff
  • Fortnightly wages and salaries processed within set timeframes
  • Ensure that staff payroll queries and corrections are dealt with
  • Ensure appropriate payroll reports are printed and distributed to the required staff member in a timely manner following payroll processing
  • IRD returns are filed twice a month
